THE PROGRAM POLICIES
I. INTRODUCTION
- These program policies describe the basic rules and regulations that one must follow in order to participate in this program. Admitting to become partner with the programs, participants should read the program policies for full supports and acknowledgement from the staffs and the Vietnam National University – Ho Chi Minh City (VNU – HCMC)
- This policy applies to all official travelers of the program “Summer in Vietnam 2010”. Travelers shall be properly authorized, reported, and reimbursed; under no circumstances shall expenses for personal travel be charged to, or be temporarily funded by the VNU – HCMC and Organizational Board (OB) unless otherwise noted in the Policy.
- These policies do not apply to those who do not join the program “Summer in Vietnam 2010”.
II. PROGRAM POLICIES
Under the guidelines established by university, travel costs and related expenses form a substantial part of the journey’s total expenditure.
A. Responsibilities of VNU – HCMC and Organizational Board of “Summer in Vietnam 2010”
- Being fully responsible for the safety of participants traveling during 21 days of the journey
- Fulfils the needs of the VNU – HCMC, the employees, and participants participated.
- Ensures the cost effectively.
B. Responsibilities of Participants of “Summer in Vietnam 2010”
1. Cultural Policies:
Participating in program, one must admit to accept, respect and follow the culture of the relating country if it is necessary. Violating the cultural policies will lead to the corresponding consequence. Ex: Criminal issues, Sexual issues, etc…
2. Accommodation Policies:
- Alternative choices are provided for this section. Neither staying in hotel nor home-stay should follow strictly the rules.
- Vietnamese traditional families are supposed to be an important part of the course. Although it is different from family to family, however, they were basically built up from the traditional culture. Travelers should choose the suitable home-stay or hotels that are provided by the program for amount of time; follow the family culture/hotels policy and corresponding committee’s law.
- All hotels accommodation must be booked through the OB to take the advantage of negotiated rates. Payment for the cost of the room (may include breakfast and VAT where needed) will normally be settled directly by the OB through the program’s travel partner. On checking out, the traveler will take the charge of the others
- For staying in other places that are not booked by the OB, traveler should reconsider the needs of getting the admittance of responsible partner. Under this circumstance, the expense will not be returned and there are no responsible from the OB if unexpected accident occurs.
- Packages should be small, portable and easily to handle in emergency situations.
- Caring the packages as your own risk (i.e., big lock etc). Putting relieves on someone should be the worth case.
- Remember the number of reception/responsible partners just in case (i.e., lost way, lost packages, hotels/houses services etc).
- Violate the law of committee, showing disrespect to family culture or disobey the hotels policy.
- Every family possesses various kinds of cultural traditions. Learning at the beginning should be recommended to avoid unexpected consequences.
3. Ethical and legal policies:
- We respect the secure of personal information of the participants. All information regarding the participants’ address, phone number, status or mediation aspects will not be announced unless there is permission from the participants and request from the national authorities .
- The participants are expected to respect the individual’s personal possession and right to privacy. Examining or taking personal possessions is unethical and illegal, which may also lead to termination of the participation in the program.
- The use of drugs is illegal and will result in program termination. Moreover, the offender will face criminal proceedings in Vietnam with any use of illegal substances.
- If the participant is staying in any family or hotel where there is people using illegal substance, he or she will be removed and placed in a new dwelling. Therefore, feel free to announce us if that’s the case.
Once a participant is convicted, he or she will be judged according to the law of Vietnam. Termination of the participant’s participation in the program will be announced ( If the situation is demanded ). The OB may assist or determine to terminate the program of the criminal (depend on the level of crimination and corporation of that criminal). Criminal charges may prevent the participant from ever returning to the home country where the charges were laid.
III. CONCLUSION
The OB is responsible for the enforcement of this policy. It’s required that all travel arrangements are made in strict adherence to this policy in order to maximize the benefits for participants. If violations are occurred, OB will not be responsible for any things that are related to violations such as paying damages or appear before the court. However, OB will assist the participant to solve the case with appropriate methods within OBs’ abilities.
